Privacy Policy

VoiceAgents.ca ("VoiceAgents", "we", "us") provides AI-powered voice, SMS, and email customer-service tools to businesses. This Privacy Policy explains what personal information we collect, how we use it, and the choices you have.

This policy applies to our marketing site (voiceagents.ca), our waitlist, and our hosted service ("Service"). It does not apply to third-party websites we link to.

1. Who is responsible for your information

For our marketing site and waitlist, VoiceAgents is the controller of the personal information you provide.

For the hosted Service, our customers (businesses that use VoiceAgents to communicate with their own customers) are the controller of personal information about their end-customers. VoiceAgents acts as a service provider / processor on behalf of those customers and processes that information only as instructed by them and as described in our Terms of Service.

4. Service providers and subprocessors

We rely on a small number of vendors to deliver the Service, including providers of voice telephony, AI inference, transactional email, infrastructure hosting, and payment processing. These providers process information only on our behalf and are bound by confidentiality and data-protection commitments.

5. AI processing

The Service uses large-language-model providers and speech-to-text providers to power voice agents and AI summaries. Audio, transcripts, and message content may be sent to these providers for the purpose of generating real-time responses and post-call analysis. We use providers that contractually commit not to use customer content to train their general-purpose models.

6. Call recording and monitoring

The Service may record calls and store transcripts on behalf of our customers. Our customers are responsible for obtaining any consent required by the laws of the jurisdictions in which they operate before initiating or recording a call. Customers can configure recording behaviour and retention in their account settings.

7. How long we keep information

We keep waitlist signups until you ask us to delete them or until we determine the program has ended. Account data is retained while your account is active and for a reasonable period afterward to meet legal, accounting, and audit obligations. End-customer data uploaded to the Service is retained according to the configuration set by our customer (the controller).

Subject to applicable law (including Canada's Personal Information Protection and Electronic Documents Act and provincial equivalents, and, where applicable, the EU/UK GDPR), you may have the right to:

To exercise any of these rights, email privacy@voiceagents.ca. If you are an end-customer of one of our customers and you want your information removed or corrected, please contact that business directly; we will assist them in fulfilling your request.

9. International transfers

Some of our service providers process information outside of Canada, including in the United States and the European Union. Where required, we put appropriate safeguards in place for these transfers.

10. Security

We use administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, alteration, disclosure, or destruction. No system is perfectly secure, and we cannot guarantee the security of information transmitted to or from the Service.

11. Cookies and analytics

Our marketing site uses a minimal set of cookies and local-storage entries strictly necessary to operate the site (for example, to remember that you have submitted the waitlist form). The Service uses session and authentication cookies. We do not currently use third-party advertising cookies.

12. Children

The Service is not directed to individuals under the age of 16, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.

13. Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. Material changes will be communicated by posting an updated version on this page or, where appropriate, by direct notice.
